FAQ's

Customers are asked to supply a logo (PNG), as well as their primary and secondary colour palettes so we can ensure Xena looks and feels just like you would like it to. Customers can also use a custom background image or video for the sign in screen.

We believe that client onboarding should be easy and fuss free so from the moment you sign up we take you through the set-up process which should only take a few days, if you do not have any custom integrations or specific requests. Get in touch if you want us to talk you through the process.

All data is stored within our Amazon AWS data centres located in the EU. For public cloud customers your data will be stored in London. Private cloud customers have the added benefit of choosing exactly where they would like to store their data. Enterprise customers have the ability to host on premise or within their own private cloud.

You control the length in which you would like to retain your visitor data. All customers get access to the GDPR features which allow you to automatically delete or obfuscate visitor data.

We perform regular backups which are stored in the same data centre location as your plan. Backups are encrypted and retained for 14 days.

We take data protection extremely seriously by being transparent on where and how your data is stored. Afundi Digital Marketing (the creators of Xena) will act as the Data Processor for your data. Xena comes with several GDPR features available to all customers allowing you to easily export, delete, and obfuscate your visitor’s data automatically.

Xena can work on any tablet or mobile device that has a web browser and internet connectivity however we recommend using a Samsung Galaxy or Apple iPad for the best user experience.

We have a number of different set up options depending on the hardware you want to use. Get in touch and we can make recommendations on stand/kiosk options.

You can have the Xena app connected to unlimited devices within one location.

There are additional costs for the device and stand which are once-off costs and purchased by you with our guidance. Xena offers SMS and phone call notification features which will incur additional carrier costs. Pricing starts from 4p per SMS and 25p per phone call.

We bill our customers both annually and monthly dependant on the package you choose.

We are always looking for ways to improve Xena and therefore we release new features regularly. We also encourage customers to request features however any additions to the application will need to be reviewed and put into the development roadmap in order of our preference. However, customers can purchase features if the feature is not against our vision for Xena.

Absolutely not, we believe Xena is a great tool for your front desk staff to use as it streamlines visitor check ins and allows them to not be tied to their desk at all times.

Customer feedback

My desire was for a system to automate the reception function of visitor handling. As a technology company it frustrated me that guests would sign-in on a piece of paper. Additionally, from a health & safety point of view I wanted the ability to establish how many guests we had on site at any particular time. I also wanted it to look modern and reflect our technology ethos.

The Xena software, from Afundi, was the perfect fit. We now have a digital process to make reception aware of pending visitors, visitors can digitally sign in and I get a mobile notification that my guest has arrived in the building. Additionally, from a health & safety point of view I wanted the ability to establish how many guests we had on site at any particular time, and to share relevant H&S info with them when they sign in.
